This Privacy Policy explains how we collect, use, store, and protect your information when you use our platform at trainerlink.io.

For Companies/HR Departments: Company name, contact person name, email address, phone number, training requirements (topic, dates, budget, location, participant count), and industry sector.

For Trainers: Full name, email, phone number, professional qualifications, HRD Corp trainer ID, areas of expertise, training experience, bank account details (for payout purposes), and profile information including bio and certifications.

Automatically Collected: IP address, browser type, device information, pages visited, and interaction data through cookies and analytics tools (Google Analytics and Umami).

3. How We Use Your Information

Your information is used to:

  • Match training briefs with suitable trainers using our AI matching engine
  • Generate and deliver training proposals
  • Process bookings and facilitate communication between clients and trainers
  • Process payments through Stripe (our payment processor)
  • Manage HRD Corp compliance documentation (e-TRiS forms, attendance records)
  • Send transactional emails (booking confirmations, proposal notifications)
  • Improve our platform and services through analytics

4. Payment Processing

Payments are processed securely through Stripe. We do not store your full credit card numbers, CVV, or card expiration dates on our servers. Stripe handles all payment card data in compliance with PCI DSS standards. We only store Stripe transaction identifiers for record-keeping purposes.

5. Data Sharing

We may share your information with:

  • Matched trainers or clients as part of the proposal and booking process
  • HRD Corp for compliance and claim processing purposes
  • Stripe for payment processing
  • Resend for transactional email delivery
  • Google Analytics and Umami for website analytics (anonymized)

We do not sell your personal data to third parties.

6. Data Security

We implement appropriate technical and organizational measures to protect your data, including encrypted connections (HTTPS/TLS), secure authentication, and access controls. Our platform is hosted on infrastructure with Cloudflare security protection.

7. Data Retention

We retain your personal data for as long as necessary to fulfill the purposes outlined in this policy, or as required by Malaysian law. Training records and compliance documents are retained for a minimum of 7 years in accordance with HRD Corp requirements.

  • Request correction of inaccurate data
  • Withdraw consent for data processing
  • Request deletion of your data (subject to legal retention requirements)
